The Engineering Workflow Coordinator plays a key role in supporting the efficient coordination of engineering activities across major studies and project delivery phases.
This role is responsible for managing the flow of engineering deliverables, maintaining engineering control documentation, coordinating resource allocation, and supporting reporting and administration functions across multidisciplinary engineering teams. Working closely with Engineering Leads and Project teams, the Engineering Workflow Coordinator ensures deliverables are tracked, resources are aligned to project requirements, and workflows are maintained to support effective project execution from early studies through to detailed design.
Key Responsibilities
Engineering Deliverable Coordination
- Maintain the Engineering Control Sheet (ECS) as the central tracking system for engineering deliverables and progress
- Work with Engineering Leads and Discipline Engineers to ensure deliverable status, milestones, and review cycles are accurately maintained
- Track progress of engineering deliverables against project schedules
- Identify workflow bottlenecks or delays and escalate risks to the Engineering Manager or Project Lead
- Track allocation of internal engineering personnel and external contractors against work packages and deliverables
- Support forecasting of engineering resource requirements across studies and projects
- Maintain resourcing plans including assignments, availability, and upcoming project needs
- Coordinate onboarding and offboarding activities for engineering team members
- Manage weekly timesheet submissions and approvals across the engineering team
- Ensure alignment between timesheet entries, engineering deliverables, and project work packages
- Produce utilisation and labour reporting by discipline and work breakdown structure (WBS)
- Support project cost tracking through accurate reporting of engineering labour hours
- Coordinate engineering meetings, including scheduling, agendas, minutes, and action tracking
- Support document management activities in collaboration with document control teams
- Assist with processing invoices, purchase orders, and expense reporting for engineering services
- Maintain training, certification, and compliance records for engineering personnel
- Bachelor’s degree in Engineering, Business, Project Management, or a related discipline
- Approximately 8+ years’ experience supporting engineering or project teams within mining, resources, or heavy industry
- Strong understanding of engineering workflows across project phases including scoping, prefeasibility, feasibility, FEED, and detailed design
- Advanced proficiency in MS Excel and experience using data analytics or reporting tools such as Power BI or database systems
- Strong organisational and coordination skills with high attention to detail
- Ability to work effectively within multidisciplinary engineering and project environments
- Strong communication and stakeholder coordination skills
- Adaptable and proactive with the ability to manage competing priorities in fast-paced project environments
