An opportunity is available for an experienced Completions Administrator to support the construction phase of a large, complex industrial project. This role plays a key part in the completions and handover process, ensuring documentation, systems and reporting are accurately managed to support mechanical completion, commissioning readiness and structured handover to operations.

Working closely with completions, construction, commissioning and EPCM teams, you will be responsible for maintaining completions registers, tracking punch lists, and supporting audit‑ready handover of systems and subsystems.

Key Responsibilities
Completions Documentation & Systems
  • Administer and maintain the project completions management system (CMS/Assure or equivalent)
  • Register, track and close out ITRs, punch lists, and completion certificates
  • Collect, verify and file as‑built documentation, equipment data sheets, test records and certificates
  • Maintain completions registers and support development of the Master Subsystem List (MSSL)
Reporting & Progress Tracking
  • Prepare regular completions status reports highlighting progress, risks and outstanding items
  • Track punch items by category and support prioritisation in line with commissioning readiness
  • Prepare system and subsystem handover documentation packs
  • Assist with weekly and monthly completions dashboards for project leadership
Stakeholder Coordination
  • Liaise with EPCM and construction contractors to drive timely submission and close‑out of documentation
  • Coordinate with commissioning teams to ensure documentation supports pre‑commissioning and commissioning activities
  • Support interfaces between construction, commissioning and operations readiness teams
  • Participate in walk‑downs and subsystem handover reviews where required
Quality & Compliance
  • Ensure completions activities align with project quality requirements and applicable standards
  • Support internal and external audits and maintain audit‑ready documentation
  • Identify and escalate documentation gaps or non‑conformances promptly
What We’re Looking For Essential
  • Minimum 3 years’ experience in completions administration, document control or project administration on major capital projects
  • Experience on construction or EPCM projects within resources, oil & gas, chemical processing or heavy industrial sectors
  • Proficiency with completions or document management systems (e.g. Assure, CMS, Aconex, InEight or similar)
  • Strong attention to detail and ability to manage high volumes of documentation
  • Strong Excel and SharePoint skills
  • Clear written and verbal communication skills
Desirable
  • Tertiary qualification in engineering, project management, business or a related discipline
  • Experience during the completions, commissioning or handover phase of a process plant
  • Familiarity with punch list management and mechanical completion processes
  • FIFO project experience in Western Australia
